Project Manager
As a Project Manager at Tolleson, you will bring structure and momentum to our creative work, ensuring projects are delivered on time, on budget, and with exceptional quality. You will work across a range of client engagements—from brand identity systems and digital experiences to strategic storytelling and campaigns—partnering with account directors, strategists, and creatives to manage day-to-day execution.
You will serve as a central point of coordination, facilitating collaboration between internal teams, clients, and external partners. You’ll manage project scopes, budgets, resources, schedules, and status communications, keeping all stakeholders aligned and informed. Your calm, solutions-oriented mindset will help move work forward—even when navigating ambiguity or shifting priorities on a multitude of projects.
This role requires operational rigor, clear communication, keen attention to detail and a deep respect for the creative process. You will help identify risks, propose solutions, and create conditions that allow creative teams to do their best work. You will also contribute to improving internal workflows and project management best practices across the studio.
Project Managers at Tolleson play a critical role in delivering work that is as strategic and thoughtful as it is visually compelling—ensuring that both process and output reflect the highest standards of excellence.
Key Responsibilities:
• Manage project scopes, timelines, budgets, and deliverables across a range of high-volume global packaging, branding, digital and content initiatives, ensuring clarity for both internal and external teams.
• Serve as day-to-day liaison between internal teams, clients, and external partners, providing cross-disciplinary coordination and clear communication and alignment at every stage.
• Track progress for both internal and external teams, identify roadblocks, and proactively adjust plans to keep projects on schedule and within scope.
• Draft and contribute to project scope definition and budget development alongside account and creative leads.
• Lead internal and external project communications, including status meetings, capturing key decisions, next steps and team responsibilities.
• Foster strong client relationships and coordinate with multiple program managers/licensee clients concurrently.
• Daily maintenance of multiple points of project documentation and tracking tools to ensure internal and external project teams are equipped with up-to-date information on an ongoing basis.
• Initiate project setup in management systems, including opening jobs, assigning resources, and inputting estimates and schedules.
Required Skills & Experience:
• 4–6+ years of dedicated project management experience in a in a fast-paced, high-volume, quick turn environment such as an advertising firm, digital or print agency, or in-house packaging.
• Exceptional project management skills with a focus on large, complex accounts with significant annual revenue generation.
• Strong organizational and time management skills, with the ability to manage multiple projects simultaneously.
• Working knowledge of creative workflows and terminology—particularly related to print packaging, brand and brand systems design, and general print and digital production.
• Proficiency in leveraging system capabilities to enhance project financial tracking, budget forecasting and accurate project costing.
• Proven ability to drive operational excellence and identify opportunities for improvement, evolving workflows and proactively implementing successful solutions and tools.
• Excellent written and verbal communication skills, with a diplomatic and collaborative style.
• Extensive experience with critical operational tools, including proficiency tools similar to Airtable for project management, Workamajig for financial reporting, Slack and other collaboration platforms such as Figma and Figjam for fluid client and internal communications. Strong Google Suite skills are essential, with advanced capabilities in Google Sheets such as pivot tables for fast report creation.
• Demonstrated experience working with large global packaging systems is a significant plus.
